Afternoon slots that the phone never offers
A template can show eight follow-up slots after lunch and still run empty. The usual cause is not lack of demand. It is the way the telephone script is written: staff are told to fill the consultant’s morning first, and afternoon slots are described as ‘if nothing else is free’.
Patients hear that as a second-class offer. People arranging time off work take the morning. The afternoon then looks like wasted capacity on a chart, which tempts managers to cut the session. Cutting it concentrates still more demand into the morning, which is how stacked 09:00 lists are born.
A session template reset starts with the phone script as much as with the grid. If afternoon rooms are real, they need to be offered at the same rank as morning rooms for follow-up work. New patients can remain morning-weighted if that is the clinical preference, provided the chart says so honestly.
Visualising this on paper — two columns, morning and afternoon, with ticks for offered versus booked — is enough. The drawing is a planning aid for the next timetable, not a product interface.
