A structured walk through of how appointment slots, rooms, and session lengths actually fill across a typical clinic week.

Outpatient coordinators, practice managers, and departmental leads who already run booked clinics and need a clear picture of unused rooms, stacked mornings, and thin afternoons.

A written capacity picture for one clinic or suite: which sessions overfill, which rooms sit idle, and where session templates fight the real arrival pattern.
Scope
One named clinic or specialty suite, covering a recent four-to-eight-week appointment book plus the current session template. Additional sites are quoted separately.

- Review of booked, arrived, and unfilled slots by weekday and session
- Room occupancy notes against the published template
- Walk-in and overbook handling as it actually occurs
- A short briefing for the clinic lead, in person or by scheduled call
- A printed occupancy chart set for the next operational meeting

Who carries the work
A Packagepathgrid planner with outpatient administration experience works the review. Clinical decisions remain with the host clinic.
How the review runs
- Agree the clinic, date range, and which appointment book extract will be used.
- Read session templates against actual arrivals, rooms, and list lengths.
- Walk the suite at a quiet time to confirm room count and turnover constraints.
- Present findings and a modest set of template adjustments for the next cycle.
Time
Two to three weeks from receipt of the appointment extract to the briefing, depending on how the lists are supplied.
Where
On site in the Atlanta–Smyrna area when rooms need to be counted in person; otherwise a desk review using the clinic’s own extracts, with a briefing by appointment.
What to prepare
A de-identified extract of booked and arrived appointments, the current session template, room list, and notes on walk-in rules. No live system access is required.
Limits
We do not log into clinical systems. Figures stay on the clinic’s media or on a local working copy used only for the review. Peak flu or audit weeks may delay a site visit.
